Connect your accounting package

How to connect Xero or QuickBooks, what syncs automatically, and what to do without either.

This article is for operators — how to connect your accounting package and what happens once it's connected.

Connecting

From your back-office settings, connect either Xero or QuickBooks — both are supported natively. You'll be taken to sign in and authorise StoreBay directly with your accounting provider; we never see or store your accounting login, only an access token that can be revoked at any time from either side.

What syncs automatically

Once connected:

  • Invoices you raise are pushed into your ledger.
  • Payments (including Direct Debit collections, once actually cleared — not just submitted) are pushed and matched against the right invoice.
  • Credit notes are pushed when issued.

We then periodically check back with your accounting package to confirm everything landed correctly and to reconcile anything that changed on their side, logging every push and check so you can see the sync history if something needs investigating.

Mapping your accounts

You choose which of your chart-of-accounts codes each type of transaction maps to (for example, which nominal code licence fee income posts against). This is configured once when you connect, and you can change it later from the same settings page.

If you don't use Xero or QuickBooks

You can export your invoices, payments, and credit notes as CSV at any time and import them into whatever system you use instead.

Who to contact

If a connection stops syncing, or you see a mismatch between StoreBay and your ledger, contact support with roughly when you first noticed it — that helps us narrow down what happened.
