Invite staff and set roles

How to invite staff to your back office and choose what they can access.

This article is for operators — how to bring your team into your back office with the right level of access for each person.

Inviting someone

From your back-office team settings, invite a colleague by email. They'll set their own password (or sign in with Google, if you use that) and can optionally add two-factor authentication for extra security on their account.

Built-in roles

Every invite is given a role that controls what they can see and do:

  • Owner — full access to everything, including billing, settings, and managing other staff.
  • Manager — day-to-day operational access across billing, collections, and site management, but without staff management, core settings, or the ability to approve a sale of goods.
  • Staff — front-desk access: customers, units, and day-to-day tasks, without billing refunds or settings access.

Custom roles and site scope

If the built-in roles don't fit how your team is organised, you can build a custom role with exactly the permissions you want. Any role — built-in or custom — can also be scoped to specific sites, so a site manager only sees and acts on their own site rather than every site you run.

Changing or removing access

You can change someone's role, adjust their site scope, or remove their access entirely at any time from the same team settings page — changes take effect immediately.
